Setting up the reception on the wedding day

Many venues now have weddings on Fridays, Saturdays and Sundays. This is great for business and streamlining the service they offer as a wedding venue but not so great if you want to set the reception room up yourself to make sure it looks exactly as you want it to. This is because you will have no time or access to the rooms the night before you wedding day and really should be concentrating on getting yourself ready on the morning of your big day!

If you are lucky enough to have a venue or a good friend that you trust enough or are happy enough to layout your tables on the morning of your wedding, here are four top tips on how to make sure they mirror the image you have in your head to the tables that will face your guests.

Tip One:
Provide an A3 printed (or hand drawn) table plan marked with exactly where each individual is sitting. Also, mark clearly where there should be high chairs. If you have specific positions where you want certain people to sit, for example your best friend is on table two, but you want her sat as near to the top table as possible, include features in the room on your diagram so the person setting up knows precisely where each guest card should be placed to ensure this happens.

Tip Two:
Put everything in bags. Put all of table one’s place cards, stacked in order of how they will be laid out on the tables, the favours, table confetti, table games etc in to one bag and mark it clearly with the number of the table it is for on a label or in marker pen on both sides of the bag. Repeat for each table. Then the person putting everything out will know exactly what is needed for each individual set up and can make sure it is all there.

Tip Three:
Have a practise at home! Set up your dining room table with a similar coloured table cloth and a vase of flowers (if your centre piece is to be flowers!). Lay out the cutlery, a plate, side plate and 3 glasses and then decorate the table as you would want it to look on your wedding day. When everything is set up and exactly as you want it, take a photo and leave a copy in each table bag to be used for reference on the day of the wedding.

Tip Four:
Don’t make it too complicated. The more you put on your tables, the less room there will be for the equipment needed to eat the meal! Remember the amount of people, table settings, glasses and elbow room required to enjoy a meal and decorate your tables accordingly.
